How to use AgentStepper, from the first client meeting to the AI Fit Assessment you hand over. About a ten-minute read. Button names are written as they appear in the app.
1. Before you start
- Your invitation. AgentStepper is by invitation. Open the invitation email, follow the link, and create your account. The password must be at least 15 characters.
- Signing in. Go to app.agentstepper.com. Your analyses are listed under Your analyses.
- What to bring. Notes from a client meeting, a meeting transcript, or your own description of how a workflow runs today. Messy notes and shorthand are fine.
- Works on a laptop or a phone. Meeting mode is easiest on a laptop.
2. Your first run: the example
The example is an invented customer support meeting. It shows the whole flow in about ten minutes, without typing anything.
- Click New analysis. Stay on the From meeting notes tab, click Try an example, then Organize notes.
- Check the draft. AgentStepper turns the notes into a draft: the steps, who does the work, the systems, and what goes wrong. It uses only what the notes say, and lists the gaps under Not in the notes. Change anything you like, then click Analyze.
- Answer the Clarifier for a few questions (section 3), then click Analyze now. The analysis takes about two minutes. You can leave the page; it keeps running.
- Read the results (section 4), and try changing a step (section 5).
To describe a workflow in your own words instead of notes, use the Describe it yourself tab.
3. Answering the Clarifier
Before the analysis runs, the Clarifier settles the facts that decide the recommendation. It lists what the notes already settle, then asks one question at a time, each from your last answer. Ask the client, or answer from what you know.
- Each question carries its stage: S for start broad, D for dig deeper, P for play it back. Pick one of the suggested answers under The answer, or choose Other and type your own.
- How do you know? Choose Client said, Client unsure, or My assumption, then click Next. The next question takes a few seconds.
- Not known yet records that nobody knows. Skip this question leaves it open. Both become questions for the client.
- A vague answer, such as "it depends", gets a sharper follow-up with an example.
- Mapped: confirm or correct lists what the notes already settle. If one is wrong, click This is wrong, and the Clarifier asks about it.
- The progress line counts the deciding facts settled. The early read says whether an agent looks likely so far. It is not a result.
- Copy the open questions gives you an agenda for the next conversation with the client.
- Analyze now works at any point. The Clarifier stops on its own when the deciding facts are handled, or after 15 questions.
How your answers are used: what the client said is treated as fact and appears under Confirmed with the client. What the client was unsure of, or what you assumed, stays labeled as an assumption, all the way into the PDF. Anything not known or skipped becomes an open question.
4. Reading the results
- The recommendation names the one step where an agent fits best, with Why not the other steps, What would make it a bad idea, and Why one step?. When no step needs an agent, it says so and gives the Recommended next step instead: which steps to automate, and where AI can help a person.
- The step map shows every step with one label (Automate, AI-assisted, Agent, or Keep human), the role, the systems, the problem, and a reason tied to your notes. Show evidence highlights the words each item came from.
- The design document describes the recommended agent: the goal and success measure, what starts it, the systems it uses, what it may do on its own, what needs a person to approve, guardrails, and test cases, including how it should fail. Items marked "Assumption" are not stated in your notes.
- To confirm with the client lists the assumptions to check. Other questions for the client lists what is still open.
5. Making it yours
- On any step, change the Classification, click Edit step to change its wording, role, systems, or problem, or click Mark as wrong for a step that does not happen.
- When the design document no longer matches your steps, a note says so. Click Regenerate document. Your edits always win.
- Download PDF gives you the AI Fit Assessment, the client-ready PDF: the recommendation, the step map, the design document, and what is confirmed and still open.
- Delete an analysis from Your analyses. Deleting removes all of it.
6. During and after the next meeting
- Before the meeting: in the results, Copy as a meeting agenda, just above To confirm with the client, gives you the open questions to bring.
- During the meeting: click Open Meeting mode. Type as the client talks, or paste a live transcript. Ask next suggests what to ask after each pause (or click Suggest now), and Covered so far shows which parts of the workflow you have covered. Before the meeting ends, Draft the play-back gives you statements to read back so the client can correct you. Your notes save as you type.
- After the meeting: click Finish and update the analysis, or, in the Meeting notes section, Update from the meeting. AgentStepper suggests changes, each with the words behind it. For each, choose Accept, Accept with my changes, or Reject. Nothing changes until you decide.
- A brand-new workflow in a meeting: on New analysis, use Start a meeting. When you click Finish and organize the notes, you continue from the draft as in section 2.
The Meeting questions page lists the questions that give the best analysis, with follow-ups.
7. Using it with real client work
- Use roles, not names. AgentStepper writes roles, never names, and replaces the personal names it recognizes before your text is sent for analysis.
- Leave out confidential details. General descriptions of the work are enough.
- Only you can see your analyses. No other user can. Your client sees what you share, usually the PDF.
- Security and data explains where your work is stored, how it is processed, and how deleting works.
8. What it does not do yet
- Export to Word. The PDF is the export for now.
- Change a Clarifier answer once it is given. Correct it afterward by editing the steps.
- Share an analysis with colleagues or the client inside the app. Share the PDF.
- Record audio or upload files. Paste notes and transcripts from the tools you already use.
- Build the agent. The design document is what a technical team builds from.
